Saving emails to Microsoft Teams

Ever wondered how to save an email into Microsoft Teams? Did you know you can just drag and drop your Outlook emails straight into Microsoft Teams or forward them to a channel?

Whether it’s sharing an email with your colleagues or keeping communication history in one place, you can do it in just a few clicks. There are two options for you.

1.   Drag and drop

Note: you need the Outlook desktop app to directly drag and drop emails. You can’t save emails from the web version of Outlook.

Here are the five simple steps:

  1. Open Microsoft Teams (desktop or web app).
  2. Find the conversation or file tab where you want to save the email.
  3. Open Outlook (desktop app).
  4. Click on the email and drag it directly to the Microsoft Teams window.
  5. Wait until the email is uploaded. Done.

You will be able to view the email body directly in Microsoft Teams so there’s no need to download the email file.

2.   Forward to a channel

If you don’t have the Outlook desktop app, you are still able to save an email to Microsoft Teams by forwarding it to a channel, even when using the mobile app.

  1. Open Microsoft Teams (desktop, web or mobile app).
  2. Find the channel where want to send the email.
  3. Click on the ellipsis (three dots) next to the channel name and select ‘Get email address’ from the menu.
  4. In a new window you will see a long and strange looking email address but don’t worry, it will work. Click ‘Copy’.
  5. Open Outlook (desktop, web or mobile app).
  6. Select the email you would like to send and click ‘Forward’.
  7. Paste the copied email address from Microsoft Teams into the recipient field and hit ‘Send’. Done.

Your email will be published to a channel as a new conversation. There will be a note at the top that you shared it via email. The body of the email will be displayed directly in the chat. The email file will be saved in the files tab in a separate folder.
